Recruitment Process

The Foundation contracts with the University Human Resources Department to process our recruitment.  The following procedures have been established to assist in you in your recruitment efforts.

Positions that DO NOT need to be posted:
All student positions;
Emergency appointments;
" One time payments" or "Guest lecturers"; and
Grant positions that name a specific person.

Positions that MUST be posted:
All full-time salary positions with benefits;
All part-time salary positions with benefits; and
Non-student, hourly positions without benefits.

STEP I
Foundation’s Managers, Supervisors or Project Directors must submit a completed Position Vacancy Request form to the Foundation Human Resources Department.  The Position Vacancy Request form must specify job duties, qualifications, requirements, work schedule and specify if the position is benefited.  If it is desired that the position be advertised off campus, an Authorization to Advertise form, must be submitted with the Position Vacancy Request.  Cost will vary depending upon the means of advertisement. Please contact the Foundation Human Resources Department for details.

STEP II
Upon signed authorization from the Foundation’s Human Resources Director or designee, the request form will be submitted to the University Human Resources Department for posting.  The Position Vacancy Request form must be submitted and approved by Friday at 5:00 PM, in order to be posted the following Friday with the posting cycle.  Positions must be posted for a minimum of two weeks.  The recruitment cost per job posting is $125.00 (cost subject to change based on University HR contract).  Pool positions must be renewed on an annual basis.  Pool positions allow you to establish a pool of candidates for future vacant positions.  For regular (non-pool, immediate) positions, please indicate that “this position will remain open until filled”.  This will allow for the job posting and position to remain open until the position has been filled by a candidate.  After the position has been posted for the minimum of two weeks, the Manager, Supervisor or Project Director can request from the Foundation Human Resources Department that applications be ready for their review.  The University Human Resources Department will screen all applications.  There must be a minimum of three or more qualified candidates to begin the interview process, unless waived by the Foundation Human Resources Director or their designee.  The Foundation Human Resources Department will notify the Manager, Supervisor or Project Director that applications are ready for review.

STEP III
The Manager, Supervisor or Project Director will then review the applications and submit to the Foundation Human Resources office a list of the names of the candidates selected to be interviewed, the names of members who will be on the interview panel and the date, place and time of the interviews.  The Manager, Supervisor or Project Director will then forward interview questions for review and approval to the Foundation Human Resources Department.  If you need assistance with developing interview questions, panel selections, or locations of interviews, please contact the Foundation Human Resources Department at (909) 537-3543.

STEP IV
After the interview process is complete, the Foundation will coordinate a background investigation on the selected candidate.  Once the investigation is complete, the Manager, Supervisor or Project Director will be notified and requested to submit a signed Personnel Transaction Report (PTR) for a job offer.  The PTR must be submitted to the Foundation Human Resources Department for review and approval.  A Foundation Human Resources staff member or HR Director will make the employment offer to the candidate and upon acceptance will issue an appointment letter.

STEP V
Upon the employee’s first day of employment, he/she will report to the Foundation Human Resources department to complete their new hire forms and schedule any required training. This completes the recruitment process.  You are welcome to contact the HR Department, at extension 73543, for assistance with your recruitment.

Note: Volunteer Appointment
To appoint a volunteer, please contact the Foundation Human Resources Office to obtain a Volunteer/Intern Appointment Information form, which is to be signed by the volunteer and supervisor.  Volunteers are covered for workers’ compensation and must submit a monthly Volunteer/Intern Time Record form to the Foundation Payroll office.  Please see the Volunteer/Intern Checklist for a listing of other required documents.
